SPORTS FACILITY LETTINGS

RULES & NON COMPLIANCE POLICY

1. Introduction


Users , club leaders and staff are expected to comply with the sports facility rules and conduct themselves in line with the school's values of Empathy, Honesty, Respect, and Responsibility.

This policy details the rules associated with hiring the Sports Facilities along with the Monitoring and Non Compliance procedure.

​

The policy applies to individuals, groups of individuals, and entire clubs.

​

2. Use of CCTV


To ensure the appropriate use of the sports facilities, CCTV is in operation which is monitored by the school Premises Manager. The primary purpose of CCTV monitoring is to identify and address breaches of facility rules, including but not limited to:

​

  • Littering

  • Smoking or vaping (No smoking or vaping is allowed anywhere on the site, including the car park)

  • Urinating in inappropriate areas (Toilet facilities are available in the Sports Hall building)

  • Walking across mulched planted areas

  • Not leaving the AstroTurf in a timely manner following the specified hire period

  • Not leaving the car park in a timely manner following the specified hire period (Users are expected to have left the site within 10 minutes of the specified hire period)

  • Not wearing acceptable footwear on the AstroTurf (Moulded studs only. No screw studs, flats, astro-trainers or blades)

  • Bringing pet dogs (except assistance dogs) onto the site (Only assistance dogs are allowed anywhere on the site)

3. Identification of Issues


If the school Premises Manager identifies a breach via CCTV, they will pass the information to the Yorkshire RTC Compliance and Complaints Manager who will:

​

  1. Review the footage to confirm the breach.

  2. Identify the club responsible using the Lettings Calendar.

  3. Contact the club’s designated representative using the details provided in the Lettings Calendar.

  4. Inform the club representative of the breach and the sanction to be applied in line with the Rules and Non-compliance policy.

  5. Upload details of the breach and sanction applied onto the electronic issues recording system to ensure issues can be monitored and reported on during the six-monthly review meetings.

4. Sanctions and Consequences


Depending on the nature and frequency of the breach, the following actions may be taken:

​

  • First Breach: Informal warning issued to the individual, group, or club.

​

  • Second Breach:  Formal warning Issued to the individual, group, or club​

​

  • Repeated Breaches: Suspension from using the facilities. The period of suspension is based on the severity of the breach and can be applied to an individual, group or club. The time periods for suspension can range from a week to a total ban depending on the nature of the breach. 

​

  • Serious Offences: Where an offence involves deliberate vandalism, deliberate damage to the facilities, verbal abuse, or any other malicious act, the individual, group of individuals, and/or club may be banned  permanently.

5. Appeals Process


Individuals, Groups and Clubs may appeal any sanctions by submitting a written request to the school Principal within seven days of receiving the sanction notice. Appeals will be reviewed on a case-by-case basis.

6. Policy Review


This policy will be reviewed annually by Trinity Academy St Edward’s and Yorkshire Regional Talent Centre to ensure its effectiveness and relevance.

Non Compliance Monitoring Form

Breaches of the Rules that are captured on CCTV by the school Premises Manager are passed to the Yorkshire RTC Compliance & Complaints Manager who updates this form with the details of the breach and the sanction that has been imposed.
